This blog post collates a number of documents linked to new tenants and our operations across the portfolio.
Tenancy Agreements
All our tenancy agreements are from the National Residential Landlord Association (NRLA). Example of the recent periodic tenancy is attached below.
Guarantor Agreements
As a result of the Rental Reform Bill changes we now require all new tenants to have a guarantor. We use two options depending on your situation.
Family Member - They require cash savings of 3x annual rent and in employment / or full home owner. Along with passing of the same referencing checks as tenants.
Where a family member isnt available option then we work with a guarantor service provider. They charge a fee depending on the situation, which is payable by the tenant. Below is a link to the service and how it works. We often have a discount link, we will advise when applying if this is the case.
Tenant Reference Checks
All tenants are required to pass referencing checks to ensure suitability. Alongside suitable fit for the property type and area, we require evidence to pass the following
Note: documents have to be full copies in one image or a pdf of the full report. Not screengrabs of individual parts.
ID - Passport / driving license (Pass = Clear Proof of who you are)
If not a British national then a copy of visa / proof can stay and work in the UK (Pass = Visa must last minimum of 1 month longer than the tenancy agreement)

Proof of income – proof of employment contracts and wage slip / bank statement showing most recent pay (self-employed is 3 years tax return) (Pass = rent being no more than 35% of monthly income)
Full Credit report – free copy can be obtained from CreditKarma – screen shot each page (Pass = No CCJs or debt issues, Good or higher overall score)
Guarantor – Where one is requested they will need to be a home owner or have cash savings of 3x the annual rent.
Once payment has been received we will stop advertising the property for 7 days from receiving the holding deposit, to complete referencing. Then once referencing has been passed we can progress to signing the tenancy agreement. The tenancy agreement has to be completed within the 7 day timeframe.
Failure to pass referencing means that the holding deposit will be retained. Pass levels are detailed above in brackets, against the information requested. In addition providing false information or defamatory / toxic social media posts will also result in rejection of the application.

The document below is the current Anti Social Behaviour Policy for tenants, as of March 2026.
Neighbourhood Notice
Where we are required to provide contact details to local housing near our properties we provide this notice via posting through appropriate letterboxes.
Privacy and Data Collection
This policy details how we collect and use data in the operation of our properties, in summary
All Data is stored in a commercial cloud facitity provided by Google.
Tenant referencing - data is used by us and any appropriate third party to assess suitabiltiy for renting. Where a tenant fails referencing the data is disposed of within 12 months.
Tenants - All data associated with the tenancy and its operation are stored in cloud based filing system linked to the property. When tenancy ends the data is stored for a further 10 years to ensure any issurance, legal or other commercial obligations can be discharged. The data is then distroyed.
Guarantors - Any data associated with a tenants guarantor is stored along with the property tenancy and follows the same process as for the tenant they are the guarantee.
Selective Licenses
Where a property we own is under a selective license the particular tenants will be notified of the license and its impact on their obligations.
